In line with the TSL Health & Safety Policy, a full set of Risk Assessments and Method statements (RAMS) will be produced for every event that TSL supplies labour for. It is standard practice to read these RAMS either prior to arriving on site or during the crew induction process at the beginning of your first shift.
All freelancers are expected to arrive on site with full Personal Protective Equipment (PPE) suitable for all tasks as described in the RAMS document. Failure to arrive on site with the correct PPE may result in you being refused entry to the venue and not being able to complete your shift, in this situation TSL will not be held responsible for any loss of earnings.
It is also compulsory that all freelancers have the appropriate training and valid licences for any task they undertake whilst on site, i.e. IPAF licence for elevated work platform. TSL will request and hold copies of all appropriate licences on file.
Ignorance or breach of any safety arrangements we and/or third parties have introduced may lead to a withdrawal of service engagement.
INSURANCE
All freelancers undertaking work for TSL are required to have appropriate insurance in place throughout the duration of their subcontract for both personal and public liability insurance to a minimum level of £5,000,000
All freelancers will need to provide a copy of his or her current policy certificate to TSL. Copies of these documents will be held by TSL and new certificates will be requested at the end of the policy period.
The freelancer will indemnify TSL against all costs and expenses (including legal costs), losses and liabilities which TSL may incur as a result of:
the freelancer's breach of or non-compliance with its obligations or warranties under the subcontract
the freelancer's negligence or willful default
any claims from third parties made as a result of the freelancer's actions or omissions.
All freelancers will be responsible for providing their own travel/medical insurance before undertaking work for/on behalf of TSL outside of the UK or when working in UK Overseas Territories.
PURCHASE ORDERS AND INVOICING
You will be issued with a purchase order from TSL to confirm your subcontract for each job that you undertake. This purchase order will outline the subcontract value and any contribution towards travel and/or per diem that may be made. Travel and per diem rates are generally set by the client and TSL may not be able to adjust these.
When submitting your invoice to TSL, please include the purchase order number that was provided to confirm your subcontract. Failure to reference this number on your invoice may result in delayed payment.
Please note that the amount on your invoice should exactly match the subcontract amount outlined on your purchase order.
TSL will not pay for any additional costs or expenses outside of the agreed subcontract amount (as stated on the purchase order) unless by prior agreement including any additional overtime payments.
TIMEKEEPING
Timekeeping is a vital part of our service level agreement with our clients. We ask all our freelancers to arrive promptly at the call times outlined in the crew schedule. If you have any queries about your call time, or if you are delayed by circumstances outside your control, please inform your TSL contact or HOD on site.
ILLNESS
In the days leading up to your shift, if you are unwell and unable to work you must inform your TSL contact as soon as possible (office hours are 0900-1800) by email at projects@tsllighting.com
On the day of your shift, if you are unwell you must - in the first instance - inform the crew chief for the job you are booked onto. This should be followed-up by informing your TSL contact by phoning +44 (0)20 8629 2025 / or by email at projects@tsllighting.com
In the event of illness, the following amendments to purchase orders will apply:
if you are taken unwell on-site, you will be paid for all work undertaken up to that point and any contribution towards travel and/or per diem
for any work subsequently not completed, we will remove labour, and any contributions to travel and/or per diem
CANCELLATION
Following confirmation of work by Purchase Order, the following cancellation terms will be applicable:
cancellation of work on or before 7 days prior to the first onsite day: 0% of the purchase order will be paid.
cancellation of work less than 7 days prior to the first onsite day: 100% of the purchase order will be paid, minus any allowances for travel or per diem.
HOTELS AND ACCOMMODATION
Whilst different hotels have different check-in deadlines, if you are unable to check-in before 22:00hrs you must inform your TSL Project Coordinator within a reasonable timeframe and within office hours. Calling ahead ensures that the hotel will hold your room for you. Please notify your TSL Project Coordinator if you know in advance of the booking that your check-in will be later than 22:00hrs.
In the event that a late/failed check-in affects a freelancer's ability to arrive promptly for the specified call time, all freelancers are expected to contact the crew chief for the job prior to the start of that shift.
CONDUCT ON SITE
TSL operates a zero tolerance policy towards alcohol and drug misuse in the working environment. Any member of staff or freelancer found under the influence of alcohol and drugs will be asked to leave the site and this will result in non-payment of their subcontract.
As many of the events that we are involved with are confidential and often involve completion of a Non-Disclosure Agreement (NDA), please refrain from posting any information about the event that you are working at for TSL on social media.
Where possible please wear TSL branded clothing (including high visibility vests) when on site. If you do not have branded clothing, please speak to your TSL contact.
TOOLS
All subcontracted freelancers are expected to arrive on site with the necessary tool kit to complete the tasks they are subcontracted for. TSL will not supply tools unless of a specialist nature.
OUR EQUIPMENT
All equipment that TSL supplies is prepared and packaged to a high standard, we go to a great deal of effort to ensure that it arrives on site this way. With this in mind, we would ask that every effort is made to look after the equipment on site and return it to TSL in the same condition using the appropriate cases supplied.
Any damages and losses on site as a result of negligence may result in TSL issuing a charge.
GDPR
It may be necessary for TSL Lighting to hold the personal information of freelance subcontractors on file. In these situations, all information is stored in accordance with the UK General Data Protection Regulations (GDPR). It may be required for this information to be shared with clients, for example when booking job related travel or accommodation.
Our commitment to safeguarding information is paramount. We adhere strictly to the principles outlined in the GDPR to ensure the responsible and lawful processing of personal data.
Adequate security measures are implemented to protect against unauthorised access, disclosure, alteration, and destruction of data. Moreover, we ensure that only the necessary information is collected and retained for the specified purposes. Individuals have the right to access their data, rectify inaccuracies, and request the erasure of their information when no longer necessary. Our practices are continuously reviewed and updated to remain in compliance with current data protection laws, and information will never be shared with unrelated third parties.
